Key dates & Companies House
The Companies House accounts filing deadline is calculated automatically (normally 9 months after the year end) using the fields below. These reset automatically when the year end is rolled forward, since they only apply to the current accounting period.
Linked clients
Link clients that belong together, for example a director's Self Assessment and their company. Linked clients are shown here on both records and are used to suggest the same team member for related work.

The "Bookkeeping / information requested by" date defaults to the 15th of the month in which the email is sent. The VAT quarter ended date is calculated automatically as the last day of the month before that. The VAT filing/payment deadline is calculated automatically as one month and 7 days after the quarter end.
The VAT filing/payment deadline is calculated automatically as one month and 7 days after the VAT quarter end (override it if a specific case needs a different date). "Approval requested by" defaults to 3 days after the email date — if that would fall on or after the filing/payment deadline, approval is instead requested as soon as possible rather than by a specific date.
Tick any standard assumptions that apply. Only ticked items are included in the draft; the exact wording is added automatically.
The pre-year-end conversation date is calculated automatically as 2.5 weeks (17 days) before the accounting year end, and is flagged if the email date falls after it. The Companies House accounts deadline is calculated automatically (normally 9 months after the year end, adjusted for any first-accounts long period or filing extension recorded against the client). The Corporation Tax payment deadline is calculated as 9 months and 1 day after the year end.
The information request deadline is calculated automatically as 6 weeks after the accounting period end.
Use this once the quarterly update has been prepared. The quarter is the most recent MTD quarter that had ended on the email date (using the quarter basis on the client record); the HMRC deadline is worked out from it. MTD updates are cumulative, so the update is shown as running from the start of the tax year (6 April, or 1 April for calendar quarters) to the quarter end, and the email says which quarter of the year it is. Change the start date only for a client whose year started later (for example a new business). "Approval requested by" is 5 days after the email date, moved to a weekday, and never later than 2 working days before the HMRC deadline. If there is less time than that, the email asks for approval as soon as possible. Changing the quarter end recalculates the dates.
The month ended date is calculated automatically as the last day of the month before the email date. The information request deadline is calculated automatically as 7 working days after the month end. Weekends are excluded.
This email goes to your payroll provider, not to the client. Enter the provider's name and email once: they are remembered on this computer. The deadline defaults to one week after the email date (moved to a weekday).
The PAYE period ended date is calculated automatically as the last day of the month before the email date. The information request deadline is automatically set to the 25th of the following month, moved to the next weekday if the 25th falls on a Saturday or Sunday.
For the "SCG preparing" stage, changes are requested by the same date as "Response requested by" above.
Select the documents being sent for approval. The email content, attachments, statutory deadlines and approval wording will adapt automatically. At least one option must be selected. "Approval requested by" defaults to 5 working days after the email date.
Select Financial Statements, Corporation Tax Return, or both.
Enter the period of the return being amended under "Year ended". Only that one return is covered (the long-period option is ignored). The Taxable profit and Corporation Tax liability below should be the revised figures.
Select the draft documents being sent for review. The attachments list, key figures and wording adapt automatically. At least one option must be selected. "Comments requested by" defaults to 5 working days after the email date. The final documents are sent separately using "Accounts and / or CT approval".
Select Financial Statements, Corporation Tax Return, or both.
Enter the period of the return being amended under "Year ended". Only that one return is covered (the long-period option is ignored). The Taxable profit and Corporation Tax liability below should be the revised figures.
"Approval requested by" defaults to 5 working days after the email date, and is flagged if it falls after the Tax Return filing deadline.
The payment due date is calculated automatically as the next 31 January or 31 July on or after the email date, and the tax year follows from it. The UTR comes from the client record (the payment reference is the UTR followed by K). Enter the payment on account amount from the client's Self Assessment calculation.
The reporting period is the most recent MTD quarter that had ended on the email date (using the quarter basis on the client record). The HMRC submission deadline is the 7th of the month after the quarter end (standard quarters) or two months after (calendar quarters). The bookkeeping completion deadline is 14 days after the period end, moved to the next weekday, and appears below as "Bookkeeping completion deadline". Changing the period end recalculates the other dates.
The Companies House filing deadline is calculated automatically (normally 9 months after the year end, adjusted for any first-accounts long period or filing extension recorded against the client). Override it where a different statutory deadline applies.
The questionnaire deadline is calculated automatically as one week after the email date.
The response date defaults to 7 days after the email date. Change it if a different date makes sense, or leave it as-is to track whether the client has replied. Use **text** to bold a word or phrase, or start a line with ## to bold the whole line. Web links are turned into clickable links automatically.
"Response requested by" defaults to 5 working days after the email date.

"Status" shows whether the email is still a draft or has been sent. A draft is saved each time an email is generated, and marking it as sent turns that draft into the sent record. Use Tidy up drafts to clear old drafts. Each email and its follow-ups sit on one line; use Show follow-up to see the full trail. Use Complete once a client has responded (or nothing further is needed): it closes the follow-up and removes it from Communications due. Response due shows when a reply is expected.

Keep your team's details here, then choose who a job is delegated to under "Assigned to" below. Each person has their own Notion workspace link, which is included when you email them the job card. The list is saved in this browser only (another browser, such as a colleague's, needs its own copy: use Save team list and Load team list to move it across).

Role
BBrief for team member
Prepare the information for a team member who will do the work. Choose the client and job, tick what you have saved on OneDrive, add the links and any key points, then copy the brief and paste it into a Notion page (or download it as a file to upload). You can also email the job card straight to the team member. The brief itself is not saved in the dashboard (the Notion page is the record); only the team list is kept, in this browser.
Select a job to see its Notion link.
1Information on OneDrive
Tick the items you have saved on OneDrive. Items left unticked are listed in the brief as still to come. Remove anything that does not apply to this client, or add your own.
2Bookkeeping software login (optional)
The password is typed into this page only and is not saved by the dashboard (New brief clears it). When you copy or download the brief it appears as plain text, so anyone who can open that Notion page or file can read it. Restrict the Notion page, or keep logins in a password manager and say where in the notes box instead of entering the password.

4Brief ready for Notion
In Notion, create or open the page, then paste (Ctrl+V / Cmd+V): headings, bullets, links and tick boxes come through ready to use. The downloaded .md file can be imported into Notion with Import, then Text & Markdown.
